Wedding Suppliers

Suppliers Terms and Conditions

General

With the exception of our approved venue stylist, whom you can only use for installing certain decorative items (see section further below), we understand that you want to find the right suppliers to work with you on your special day, and to help we’ve handpicked a number of interesting and trustworthy suppliers to help you bring your dream wedding to life. You are free to choose whoever you want, as long as they meet our criteria, with the exception of our approved venue stylist.

So that the Events Team has all the relevant documentation in your wedding file for all suppliers and any assistants or teams and know who needs access to Gaynes Park on the day of your wedding, they ask that you list all your chosen suppliers on your final numbers document.

We recommend you speak initially to several contractors from each category on our recommended list to ensure that you feel happy and comfortable with them and their terms and conditions. Please ensure that your contractors and all of their team:

• Have a minimum of £5 million public liability insurance

If connecting to the electricity supply at Gaynes Park, that their equipment is PAT tested to ensure no disruptions in the electrical supply for your wedding and to prevent accidents. We need copies of their insurance certificates and schedule of electrical items which have been tested prior to agreement that they may work at Gaynes Park. Where couples or their friends/families bring in electrical equipment, we will also need verification that the equipment has been correctly PAT tested.

 
 

Musical Entertainment

In addition to the above, before you book any music entertainment, please ensure they are professional
entertainers who will understand playing in a barn venue our size with a decibel inhibitor set at 90db.

When you sign your contract with your musicians, band or DJ, please make sure that they are happy to sign your contract with the conditions found with the booking guide:

• Can and will play through the venues 90dB
inhibitor
• Will not bypass the sound inhibitor system or use
an uninterruptable power supply
• Will not use subwoofer speakers
• Will always place their speakers in the designated
area, ie in the normal DJ/band area and facing
the Gather Barn direction
• Will only use electric drum kits
• Can provide a copy of their ProDub licence,
where required, i.e. where music has been
downloaded and played through a computer and
the supplier is being paid. Playing from CDs or a
personal iPod/mp3 player is fine
• Can provide a risk assessment procedures form
to show e.g. how they tape down cables without
damaging the floor and so guests and staff do
not trip over and injure themselves, prevent
accidental electrocution etc.
• Have and will provide all the necessary
documentation, including their Public Liability
for all their suppliers, PAT Testing etc.
• Will abide by the instructions of the Gaynes Park
Event Manager on the day

We regret that failure to provide the relevant copies of certificates and meet the requirements to maintain our wedding licence may result in suppliers being unable to work at Gaynes Park.

NB. Please be advised that bands, DJ’s or individual musicians with brass instruments and/or saxophones are not suitable to play anywhere at Gaynes Park after 6pm.

NNB. Gaynes Park cannot accept any DJ/music provider who cannot comply with the above. Any of our recommended musical suppliers should be able to fulfil the venues general requirements and play within our sound and licence requirements

 
 

Approved Venue Stylist

 
We have appointed an approved venue stylist, Mediterranean Occasions, whom we trust to not only do the job beautifully, but will also preserve and respect our venue. They are the ONLY supplier we will allow to
provide and install the following decorative items should you wish to have them:

• Dance floors: any dance floors
• Staging: any staging for bands/DJs
• Venue dressing: items such as mirror balls/
chandelier lights, drapes or bunting style items
hung from the Mill Barn or Gather Barn or any
of the buildings.
• Any curtains hung, including to replace the
curtains in the Dancefloor area
• Lighting: any in or outside lighting or uplighting
placed outside of the standard designated dance
area, which is to the side of the main Mill Barn.
