Wedding Options

Since March last year, we have been working around the clock to find solutions for our couples whose wedding plans have been impacted by Covid-19. It has been a huge challenge for everyone, at a time of great worry and uncertainty, but we can finally see the light at the end of the tunnel.

We will update this page as and when anything changes so please keep checking back. Thank you for your continued patience and understanding. We will get through it together.

Options for upcoming weddings at Gaynes Park

Following the announcement of new Government guidelines on 22nd February, we can now provide a number of options for couples depending on when their wedding date is and what restrictions apply. Please bear in mind that the dates for certain restrictions to be lifted are the earliest possible dates and may be subject to change. As a result, we reserve the right to amend the options available if circumstances change, but our aim is always to be fair to everyone and find the best way forward for each couple.

Weddings from 12th April – 16th May 2021
Ceremonies and receptions are allowed to take place with up to 15 people in attendance.

Option 1 – Go ahead with your wedding

The Catering company, Venue Catering and Events Ltd have created a choice of two food and drink packages for a 15 person wedding. The first is a reception with a choice of drinks and delicious canapé for £1,500 (inc. VAT). The second, a drinks reception with canapés, a three-course meal, wine and Prosecco for the speeches, all for just £2,225 (inc. VAT). The venue is still completely yours to enjoy, including the Apple Loft wedding preparation cottage in the morning, and the Events Team will be on hand to discuss all your catering options, social distancing and the flow of the day. What’s more, you will also save 20% off* the venue fee.

* based on the restricted numbers of less than 50 guests.

Option 2 – Postpone your wedding

Postpone your whole wedding and transfer your booking to any available date up to 12 months of your wedding date. There will be no postponement fees for doing so.

Any venue or catering payments you have already made to the respective companies will be transferred to your new date. If the new venue hire is more expensive, then the increase will be payable. Postponement terms apply.

Weddings from 17th May – 20th June 2021
Ceremonies and receptions are allowed to take place with up to 30 people in attendance

Option 1 – Go ahead with your wedding

Celebrate your wedding with us and choose the right daytime catering package from our menu to suit you. We have plenty of drinks reception, wedding breakfast and evening food and drink options to choose from, so speak to our team and they will go through everything with you, as well as any social distancing measures and the flow of the day. What’s more, you will also save 20% off* the venue fee.

Option 2 – Postpone your wedding

Postpone your whole wedding and transfer your booking to any available date up to 12 months of your wedding date. There will be no postponement fees for doing so.

Ceremonies and receptions are allowed to take place with no restrictions

I believe my contract is frustrated. Can I cancel my wedding and get a full refund?

We will review the restrictions four weeks in advance of the wedding date. With the rapid pace of change, particularly given the advances with vaccination, we cannot say whether contracts for weddings beyond this lead time are, or are likely to be, ‘frustrated’ without further clear guidance from the Government. Weddings due to take place within four weeks where the prevailing restrictions prohibit weddings, and there are no announcements or indications that the restrictions on the date of the wedding will be changed, would be deemed frustrated contracts. In such instances, if you haven’t already postponed or cancelled your wedding, we would offer a refund less our ‘just expenses’ alongside postponement options.

What are ‘just expenses’?

Just expenses are not very clearly defined in law and the wedding venue sector has taken legal advice from the leading consumer rights counsel. Following this advice, we would calculate, on an individual basis, a fair allocation of the costs of the business directly incurred in relation to the contract over the period between booking and the cancellation date. Just expenses are likely to exceed just the basic costs such as planning and meeting time and attendance at a tasting event and may include a proportionate share of the overheads and expenses incurred in being able to deliver contracts. Each calculation of just expenses is specific to the individual booking.

Would I be entitled to a refund if weddings are permitted on my date?

If weddings are permitted under the prevailing or announced restrictions on your current date, normal terms and conditions would apply to cancellation by you.

If I agree to cancel or postpone my wedding now but it turns out that weddings would have been prohibited on my current date, can I still have a full refund less just expenses nearer the time?

No, any cancellation or postponement agreements made now would be a binding variation to your contract and we would not offer the option of a refund in future.

I’ve already postponed my wedding before; can I just cancel and have a refund now?

Previous postponements are binding variations to contracts. The same options are available to all weddings due to take place in the relevant date range, as shown above.
